Your key responsibilities

  • Provide support and coordination for recruiting processes and programs including running reports, data analysis, creation and/or update of spreadsheets, support of the scheduling process, etc.
  • Enter/updating of new employee information into computer database, working closely with HRMS team and HR Coordinators
  • Become proficient with Taleo (applicant tracking system)
  • Check transactions and projects to ensure data integrity
  • Prepare job postings for both internal and external job boards
  • Prepare offer letters and offer letter packages, including onboarding communications
  • Administrative support for GigNow hiring and onboarding of contractors
  • Assists with the validation and collection of new hire documentation
  • Request background investigations and analyse reports
  • Arrange payment of invoices and bonuses
  • Support the BRET process
  • Conduct new employee orientations and presentations, and ensure all necessary forms and documents are completed and returned
  • Provide coordination/administrative support events and meetings and other national processes such as orientation (e.g. materials and scheduling)
  • Escalate issues that are outside of standard process
  • Develop relationships with other team members and clients
  • Liaises with other HR field staff on recruiting related matters
  • Respond in a timely manner and meet or exceed deadlines
  • Execute on tasks and special projects as assigned

 

Skills and attributes for success

  • The individual in this role must have strong attention to detail with the ability to execute transactions accurately and efficiently

To qualify for the role you must have


  • ·    A Bachelor's degree or a certificate in Human Resources (or a related field). Equivalent experience will also be considered. 
  • ·    Human Resources, data entry, and/or records management experience desirable but not required.
  • ·       Excellent interpersonal and teamwork skills with a focus on customer service
  • ·       Ability to remain efficient and extremely organized while handling a high volume of work
  • ·       Ability to prioritize and execute multiple tasks
  • ·       Strong communication and listening skills
  • ·       Demonstrated initiative and ability to seek out answers to questions and problems
  • ·       Extremely trustworthy and capable of handling highly sensitive and confidential information
  • ·       Strong PC proficiency including MS word, Excel and PowerPoint
  • ·       Ability to learn new applications and techniques quickly and effectively
  • ·       Demonstrated team player
  •         Bilingual (French/English), both spoken and written French is preferred but not required
