In this pivotal role, you will be responsible for resource deployment which is recognised as an integral enabler to the growth of our Assurance business. Additionally, you will support the Assurance department with administrative and secretarial functions.

 

The Opportunity:

 

The Resource Deployment and Administrative Executive is a key member of the Assurance Department. The role encompasses the following:

  • Ensure optimal Assurance demand and supply management for resource deployment within the department
  • Use knowledge of clients and their capability requirements combined with an understanding of skills and career aspirations of individuals to make resourcing decisions
  • Manage the bench/capacity and identify creative opportunities to optimise productivity and profitability for the Assurance Department
  • Act as the first point of contact for resourcing conflicts and issues, escalating to management if needs be
Supporting the Assurance Partners with personal assistant duties and the department with travel arrangements

 

 

 

Drive and Manage Resourcing Performance:

  • Analyses and takes actions on department resourcing performance
  • Drives Retain (resourcing tool) versus Actual variance interventions as identified

  • Weekly review of prior week performance

  • Share department business performance and discuss trends, interventions and actions to improve results with management

  • Track productivity targets with department teams to drive performance

  • Champion the resourcing tool’s accuracy and delegation to offshore team

  • Oversight of non-chargeable activity e.g. holiday approval

  • Action non-chargeable and authorised projects insights and highlighting areas of concern to management

 

Manage Demand and Supply:

  • Ensure optimal demand and supply management for resource deployment within the department
  • Consider and ensure Diversity and inclusiveness (D&I) on deployment

  • Dealing with resourcing clashes

  • Manage shortages and complexities from demand requests

  • Source wider resourcing solutions to address shortages and capacity

  • Manage day to day resourcing escalations and issues

  • Challenge the commercial drivers of the resourcing decisions

  • Understand the bench/capacity and align appropriate actions

  • Influencing near and offshoring resource solutions to engagement teams

  • Implement supply initiatives

  • Regular review of resource allocation

  • Ensuring client teams are backfilled when faced with a leaver or a move

  • Regular stakeholder engagement

  • Understand skills landscape and escalate skill shortages/excess

  • Understanding department pipeline and reflecting probability

  • Work with management on key accounts to understand future resourcing

 

Deliver Experience Management:

  • Induction for new staff
  • Understand client handler skills and career aspirations

  • Maintain skills database

  • Understanding internal personnel feedback to drive the right experiences for client facing team

  • Ensuring underperformers are given access to appropriate experiences and monitored

  • Ensuring new staff are allocated onto chargeable work 

Create an Exceptional Team:

  • Participate in Management team meetings, performance development requirements and training to develop the function
  • Participate in team projects

  • Organise ‘Buddy’ for new staff

 

Administrative Support, including but not limited to:

  • Personal assistant support to the Partners and Associate Partners in the department
  • Diary and timesheet management for the Assurance Lead Partner

  • Travel arrangements and support for department management

  • Expense submissions for Partners

  • Prepare bills for clients

 

Create an Exceptional Team:

  • Participate in Management team meetings, performance development requirements and training to develop the function
  • Participate in team projects
  • Organise ‘Buddy’ for new staff
   

Skills and Attributes for Success:

 

  • Ability to demonstrate business insight to make effective resourcing decisions e.g. right capabilities, skills mix, logistics to optimise performance of productivity and profitability
  • Ability to think quickly, work under pressure to meet competing demands

  • Confident and resilient to deal with challenges from people within the business

  • Strong stakeholder management capability to effectively influence Engagement Partners, Directors and Managers on resourcing solutions

  • Exercises good judgement, knows when to flag issues and when to deal with independently

            

To Qualify for the Role you must have:

  • The ideal candidate should have considerable experience in commercial resourcing, recruitment or operations environment that can demonstrate adaptability to the role.
  • The candidate should also have experience in personal assistant or executive assistance roles or administration support.

Ideally, you’ll also have:

  • Professional services experience
